- It’s all matter of priorities setting, if someone said : "I didn’t have the time for this project", it’s only that he didn’t assign enough priority to it.
- Use a paper planner -Filefax, weekly and yearly. The yearly will help you determine your position in the year. So fill it too.
- Mark on your planner everything you want to do no matter how simple or evident it may seem. Time fade away so easily…
- Use a calendar with 7 days in a page : a week at a glance.
- Attack unpleasant tasks early in the day : ex, you have to call someone you don’t get along with. Do this to avoid looking at these tasks as an ogre waiting for you all the day. There is also the risk that you will procrastinate again and again about these tasks. Get it done and cross it from your list, you’ll feel good about it.
- Absolutely minimize distraction while you’re working, close the door, ignore the phone, the fax machine. DON’T CHECK E-MAILS. Do it whatever your time chunk is : 1/2 hour, 1 jour or 2 hour.
- Create routines : "every morning, I work out, I get a coffee and I start my day". Create a routine that get you in the groove.
- Use his palm pilot to save contacts lists, never for planning, too much time-consuming
- Use chunks of 2 hours if you feel you get diminished returns after 2 hours, determine your best chunk time.
- Reward yourself after these 2 hours chunk : get a coffee, go outside, play computer game.
- Improve by one percent a day and then you’ll be twice as good in a month (tagushi).
Tactics for managing your Time
- Whenever you got an idea, write it or dictate it.
- Direct people in your life to what they should do to help you, don’t let them impose on you their time techniques. Example: "Don’t leave me long voice messages". Often you will have to listen to the whole voice message waiting for the person to tell her number, sometimes he’s hurrying and you won’t hear anything.
- Read Magazines like : "Fortune, "Wall Street", "Business Week" to became more money-wise.
- Create macros on our computer in words, or excel. "I press a button and an envelope is created with the desired address".
- Use a label maker.
- Put everything within your reach, you shouldn’t have to get up to get something, put everything on your desk.
- Pay bills twice a month, do it at a one setting.
- Organize everything so you can find everything promptly. Know where your things are
- Never, ever argue with low-level person. Don’t hesitate to ask "I’d like to speak to the manager".
- Be very selfish, learn how to say no. "I’d love it but I can’t".
- Never beat yourself up. It happens that we do something wrong. Just call the person, excuse yourself or do something about it, and then move on. Don’t beat yourself up.
- Laugh everyday! Make sure you do something that makes you laugh, watch comedies, see friends, etc.
- Pursue success, not perfection. Where you’re 80% there, MOVE! The final 20% will take most of your time and are seldomly appreciated. Trigger : "If I feel that something is completed, then I probably reached 80%".
- Recall people quickly if they leave you a voice message, "I get back to people within 90 minutes"
- Take your big project and slice it into pieces. Exl "Writing a book, break it down as much as you can, so you will only have to write a page at a time".
- Duplicate things you need to use in many places. Duplicate your pens, your toilet case. You should not have to constantly move things from one place to another.
- For long articles, try to read them backward to see if the result interest you. If there’s an interesting result, read the article.
- Try to never wait in lines if you can’t multitask at the same time. Call, take a rendez-vous, but try to NEVER WAIT IN LINES.
- If you’re angry about something, do what you have to do (scream, letter of complain…) and move on.
- When you don’t want to do something, hire somebody.
- If you’re always procrastinating about something, take a little chunk of it and put it in your weekly planner.
